2. Visiting the website and server log files
Each time the site is accessed, the hosting provider automatically records data in server log files: the page requested, date and time, the volume of data transferred, notification of successful retrieval, browser type and version, operating system, referrer URL and the IP address.
Purpose: providing the website, operational security and error analysis.
Legal basis: Art. 6(1)(f) GDPR. Our legitimate interest lies in the technically sound and secure operation of the site.
Retention: log data is deleted or truncated after a short period unless it is needed to investigate a specific security incident.
3. Hosting
This website is operated by
kaIro digiTal Evolution GmbH
Gartenweg 2
21521 Dassendorf, Germany
Commercial register: Local Court of Lübeck, HRB 25172 HL
The provider processes the data arising when the website is accessed exclusively on our behalf and on our instructions. A data processing agreement pursuant to Art. 28 GDPR is in place. The provider is an affiliated undertaking with the same managing director; as they are two separate legal persons, the relationship is formally structured as processing on behalf of a controller.
The servers are located in Germany, so processing takes place within the EU.
Sub-processors
The provider engages the following sub-processors:
- Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany — data centre, servers, network, storage and backup infrastructure. Processing in Germany.
- InterNetX GmbH, Johanna-Dachs-Str. 55, 93055 Regensburg, Germany — domain registration and registry connectivity. Processing in Germany; depending on the domain extension, registries in other countries may be involved.
- WebPros International GmbH (Plesk), Vordergasse 59, 8200 Schaffhausen, Switzerland — vendor support for the management interface, access only in support or fault cases. An EU adequacy decision is in place for Switzerland.
- WHMCS Limited, 13th Floor, One Angel Court, London EC2R 7HJ, United Kingdom — vendor support for the client management system, access only in support or fault cases. An EU adequacy decision is in place for the United Kingdom.
Where processing does take place in a third country in an individual case, it does so only under the conditions of Art. 44 et seq. GDPR — by way of an adequacy decision, standard contractual clauses or other appropriate safeguards.
4. Contact form
If you use the contact form, we process your name, your email address and, where provided, your company, phone number, subject and the content of your message. The details are sent to us by email; they are not stored in a database.
Purpose: handling and answering your enquiry.
Legal basis: Art. 6(1)(b) GDPR where the enquiry relates to a contract or its preparation; otherwise Art. 6(1)(f) GDPR based on our interest in responding to enquiries. Where you have additionally given consent, Art. 6(1)(a) GDPR.
Retention: until your enquiry has been concluded. We then delete the message unless commercial or tax retention periods apply.
A hidden field in the form serves solely to deter automated submissions. No personal data is collected through it.
5. Callback requests
If you request a callback, we process your name, your phone number and any preferred time you provide — solely in order to call you back. Legal basis and retention correspond to section 4.
6. Job applications
If you send us an application, we process the data submitted in order to carry out the application procedure. The legal basis is § 26 BDSG in conjunction with Art. 6(1)(b) GDPR. Once the procedure has concluded we delete the documents after six months at the latest, unless you have agreed to longer retention.
7. No cookies, no analytics, no third-party services
This website sets no cookies and uses no analytics or tracking tools. Typefaces are used locally from the operating system only; no external providers such as Google Fonts are embedded. Maps, videos and social media elements are not loaded from third parties.
8. Encryption
Transmission takes place over HTTPS, which encrypts form entries in transit. Complete protection of data transmitted by email cannot be guaranteed by technical means.
9. Your rights
You have the right of access (Art. 15 GDPR), to rectification (Art. 16), to erasure (Art. 17), to restriction of processing (Art. 18), to data portability (Art. 20) and to object to processing based on Art. 6(1)(f) GDPR (Art. 21). Any consent given may be withdrawn at any time with effect for the future.
To exercise these rights, please use the contact details in section 1.
10. Right to lodge a complaint
Without prejudice to any other remedy, you have the right under Art. 77 GDPR to lodge a complaint with a data protection supervisory authority. The authority responsible for our establishment is:
